Background
The UN OCHA office has responsibility for inter-agency coordination in complex emergencies and in natural disasters. In the context of the deteriorating humanitarian situation in the Syria, the OCHA Office in Gaziantep was established has a specific responsibility for
(a) disseminating information and policies to the humanitarian community, authorities and donors, as well as supporting resource mobilization efforts;
(b) assisting in the identification of humanitarian priorities and needs and the coordination of resource mobilization efforts; and
(c) disseminating information on the impact of the Syria crisis, response there to and the need for international assistance.
The incumbent will be expected to contribute to the overall work of the office, including executive assistant support for the Deputy Regional Humanitarian Coordinator (DRHC), and facilitating and coordinating humanitarian response, with a focus on monitoring and information gathering/analysis for the regular development of advocacy and information products.
More specifically, the incumbent in the role as executive assistant for the DRHC:
- Provides administrative services for the DRHC, including travel arrangement, booking and security clearances;
- Provides secretariat support for the DRHC, including meeting set up and note taking;
3) Manages the DRHC’s calendar.
Duties and Responsibilities
In the role of public information, the incumbent will work under the direct supervision of the DRHC for all PI and media activities and products related to his office, and to the Senior Humanitarian Affairs Officer in UN OCHA for all OCHA related PI and media activities and is expected to assume the following duties and responsibilities:
- Monitor, research, analyze and present information gathered from diverse sources on humanitarian issues in relation to the Syria crisis.
- Contribute to the preparation of various written documents and information communications products, e.g. background papers, correspondence and presentations, Situation Reports, Humanitarian Bulletins, etc. to include proposing topics, undertaking research, writing drafts, obtaining clearances, finalizing texts and ensuring distribution to agreed target audiences.
- Draft a communication strategy for the DRHC and assists with implementation of final strategy.
- Arrange regular and ad hoc interaction/interviews/meetings between local and international media for the DRHC.
- Identify on a daily basis relevant social media content for the DRHC.
- Provide basic translation services for DRHC in meetings.
- Assist in the production of appeals and resource mobilization for international humanitarian assistance.
- Assist in the organization of meetings, conferences, workshops and other coordination and advocacy events. Attend and prepare detailed minutes and reports on meetings of relevance to OCHA. Prepare for and accompany visiting UN and donor missions.
- Provide inputs to PIO product for the WoS (Whole of Syria)
- Liaise with the other PIOs for Syria on messaging
- Initiate and sustain professional relationships with key constituencies.
- Perform other duties, as required.

Required Skills and Experience
Education:
Bachelor’s degree, preferably in Humanitarian Affairs, Human Rights, International Humanitarian Law, Policy Analysis, Development Studies, International Relations, Political Science, Economics, Media or other Social Sciences or relevant field.
Advanced University degree (Master degree) is an advantage.
Experience:
Minimum of six years of relevant experience is required. Experience with UN or NGOs in a humanitarian context is highly desirable. Experience in working on the Syria crisis is highly desirable.
Language Requirements:
English and Arabic are required. Knowledge of Turkish would be an asset.
Other skills
- Excellent writing, analytical and communication skills in English
- High level of familiarity with the Syrian Conflict
- Knowledge of MS Excel as a tool for data analysis and presentation of summary statistics is essential; knowledge of other data analysis tool such as MS Access would be an asset.
